Syntrace is a meeting intelligence platform built for the financial services industry. This page explains, at a high level, what the application does and what data the app requests, why it requests it, and what it does not do with your data.
What Syntrace does
Syntrace helps teams capture, understand and remember the conversations behind their decisions. When you allow it, the application:
- Joins your meetings. A meeting assistant joins the video calls you choose so it can capture the conversation.
- Connects to your calendar. With your permission, it reads upcoming events so the assistant can join the right meetings automatically, instead of you scheduling each one by hand.
- Transcribes and summarises. It produces transcripts, summaries, action items and insights from each meeting.
- Builds a decision trail. It maintains a searchable, auditable record of what was discussed and decided, so you can trace how and why a decision was made.
- Integrates with your tools. Optional integrations (such as Microsoft OneNote) let you import or sync notes you already keep.
Syntrace is a productivity and record-keeping tool. It does not provide investment, legal, tax or regulatory advice, and its AI-generated output should be reviewed before you rely on it.
What data the app requests, and why
We ask for access only to the data we need to provide the features above, and only when you choose to enable them. You can connect and disconnect each integration at any time. Here is each type of access and the specific purpose it serves:
| Data / access we request | Why we request it |
|---|---|
| Account & profile — your name and email address (e.g. via Sign in with Google or your organisation's single sign-on) | To create and secure your account, identify you within your organisation's workspace, and let you sign in. |
| Calendar access — read access to your calendar events and their meeting/video-conference links | To show your upcoming meetings and let the assistant join the meetings you choose automatically at the right time. We use this to detect meeting details; we do not modify your calendar beyond what a feature you enable requires. |
| Meeting audio & video — the content of meetings the assistant joins | To record, transcribe, summarise and analyse the meeting and build the decision trail. The assistant only joins meetings you (or your organisation) direct it to join. |
| Connected app data — e.g. Microsoft OneNote notes (read access), if you connect it | To import or reference notes you already keep, only for the integration you explicitly connect, and only while it stays connected. |
| Usage & technical data — logins, features used, IP address, device and browser information | To operate, secure and improve the Service, and to detect and prevent misuse. |
How we handle your data
- Least privilege. We request the minimum access needed for the features you turn on, and nothing more.
- Your control. You decide which meetings the assistant joins and which integrations are connected, and you can revoke access at any time.
- No selling of data. We do not sell your personal data, and we do not use your meeting content to train third-party models for their own purposes.
- Limited use. Data obtained through connected services is used only to provide and improve the user-facing features described above.
- Security. We protect data with access controls, encryption in transit and at rest, logging and monitoring, and EU/EEA hosting where practicable.
Meeting content (recordings, transcripts, summaries, notes, action items and the decision trail) is processed on behalf of your organisation, which is the controller of that data. Your organisation is responsible for obtaining any required consents and providing notices to meeting participants.
